Terms of Sale

These Terms of Sale apply to vinyl pressing quotes, online price checks, and payments made through xtransit.uk. By requesting a quote, placing an order, or making a payment, you agree to these terms.

1. Quotes

Online price checks are estimates based on the options you select. Quotes shown on the site are valid for 14 days from the date generated, unless we state otherwise in writing.

We may revise a quote if artwork, audio, packaging, quantity, or manufacturing requirements change, or if supplier costs change before you pay.

2. Prices & VAT

Prices are shown in GBP. Unless stated otherwise, quoted totals include UK VAT at the applicable rate. Payment of a quote total constitutes acceptance of the priced specification shown at checkout.

3. Orders & payment

  • Orders are confirmed once payment is received (or as otherwise agreed in writing).
  • Card payments are processed by Stripe. We do not store full card details on our servers.
  • If payment fails or is reversed, we may pause or cancel production until cleared funds are received.

4. Manufacturing timescales

Unless Express service is selected and paid for, orders take no less than 12 weeks from receipt of final artwork and audio files. This is a minimum manufacturing window, not a guaranteed ship date.

Standard and express timescales are targets and may still be affected by plant capacity, freight, and approvals. Vinyl pressing is a multi-stage process and delays can occur. Test pressings may add further time (including up to around 2 weeks). Do not arrange release parties, tours, or marketing deadlines until you have shipping confirmation.

5. Artwork, audio & approvals

Artwork and audio are used as supplied and must fit the formats below. You are responsible for supplying suitable audio masters and print-ready artwork, and for approving test pressings / proofs where requested. We are not liable for delays or costs caused by late, incomplete, or incorrect assets, or by changes after approval.

Any additional artwork modifications or changes (including templating, layout adjustments, file preparation beyond a basic check, and revisions after supply) are charged at £25 per hour. These charges are payable before delivery.

Vinyl pressing — audio

  • WAV, AIFF, or other lossless format.
  • Format: WAV / AIFF
  • Bit depth: 16 / 24 / 32-bit
  • Sample rate: 44.1 / 48 / 88.2 / 96 / 176.4 / 192 kHz
  • Ideally your audio will have been professionally mastered for vinyl. After quote or payment we email a secure upload link for artwork and audio. If mastering is selected, upload exactly the number of tracks chosen — maximum 5 tracks per side, and no longer than 22 minutes total running time.
  • PQ / cue sheet containing correct track names, durations, and spacing, including side split.
  • Recommended maximum running time is 5 minutes for 7″ and 22 minutes for 12″. This can be exceeded but may result in some loss of volume. Test pressings are recommended for all pressings.
  • Coloured / effect / transparent vinyl has different properties to standard black vinyl. As a result you may experience some higher than normal background noise or needle hiss compared to black. This varies based on colour. For up-to-date feedback on each specific colour / effect combination, please get in touch.

Artwork — print files

  • Make sure all design work is created in documents set to 300ppi (print resolution), and that any images that are imported or placed are also in 300ppi resolution if graphics, or a large pixel × pixel size / file size if photographs. This is to guarantee a good quality print finish. Any photographs used should be of a sufficiently large pixel × pixel size to come out well in print. Large images and photos can be scaled down to fit artwork, but small images cannot be scaled up.
  • When you have finished your artwork, if you are sufficiently experienced in preparing files for print, please send as print-ready CMYK PDFs complete with trim marks. If you are less familiar with preparing artwork for print, please send as an un-flattened .PSD (Adobe Photoshop), .AI (Adobe Illustrator), or .INDD (Adobe InDesign), making sure you include any linked images and font files (or create font outlines). We can make ready at this end and check that everything is ok.

6. Cancellation & refunds

Because pressing and packaging are custom manufacture, cancellations and refunds after payment are limited:

  • Before production has started, we may offer a partial refund less any non-recoverable costs already incurred.
  • Once plates, stampers, print, or pressing have begun, fees are generally non-refundable.
  • Statutory consumer rights (where applicable) remain unaffected.

7. Delivery & risk

Online checkout is for UK delivery only. A UK shipping fee is added to every quote and charged at checkout: £45 for runs up to 500 units, or £90 for 1000 units (plus VAT). Delivery times depend on manufacturing completion and carriers. Risk in the goods passes on delivery to the address you provide (or collection, if agreed). You must check deliveries promptly and report shortages or transit damage as soon as reasonably possible.

8. Intellectual property

You confirm you own or have licensed all rights needed for the recordings and artwork you supply. You indemnify XTransit against claims arising from unauthorised use of third-party material.

9. Limitation of liability

To the fullest extent permitted by law, our liability for any order is limited to the amount you paid for that order. We are not liable for indirect or consequential loss, including lost profit, missed release dates, or reputational loss.
